Volunteer Teams

TEAM ALLOCATIONS

Acceptance letters including which team you have been allocated to will be sent on a weekly basis until mid June. From mid June they will be sent out as needed.  

Once you are accepted you will be given the contact details of your Team Leader. You will need to contact them to re-confirm your availability so they can place you on the roster.

When you have been confirmed on the roster, your volunteer ticket and camping pass will be emailed to you. You must bring both with you to Festival Registration when arriving at the Festival Site where they will be exchanged for the relevant Volunteer Wristband. Tickets and passes will be sent two weeks prior to the Festival

THE TEAMS

NOTE: All teams have Team Leader and Shift Manager positions available. If you have management, customer service or production experience, please indicate your interest on the Application Form by checking the Team Leader box and email your CV and any relevant certifications or licenses. You will be contacted separately by the Volunteer Manager or Volunteer 2IC to discuss.

ACCESSIBILITY TEAM

The Team: The Accessibility Team assist in making TeslaFest more accessible to differently abled people, including erecting signage and helping to meet access requirements for patrons with special needs, managing reserved accessibility parking and providing helpful information when required.
The Person: Good communication skills and the ability to think on your feet. Physically fit and able to escort patrons around the grounds if required. An understanding of the challenges facing differently abled people would be highly desirable.
The Time & Place: The Accessibility Team operates during the Festival Period – Friday, Saturday and Sunday 9am to 7pm. Assistance with mark out pre-Festival may be required.
The Training: Face-to-face training will be provided during your first shift.

THE ADMIN POOL

The Team: Office processing of transactions, money counts, Comms monitoring and ad hoc admin duties.
The Person: Be able to work both independently and as part of a closely-knit team. Work both quickly and accurately with high attention to detail. Cash handling experience is desirable but not essential. Remain calm when working under pressure. Have good interpersonal skills. Have a good sense of humour. Must be computer literate to complete on screen form filling and data entry. Minimal typing skills are required. All work includes elements of data entry.
The Time & Place: Friday, Saturday and Sunday between 8am and 3am. Ideal availability will be for all 3 Festival period days but must be available to work on a minimum of 2 Festival days plus a wrap shift to complete 15 hours volunteering. You should be prepared to work at least one late-night shift.
The Training: Compulsory face-to-face training will be available Friday morning or during your first shift depending on your availability.

BUILD/STRIKE TEAM

The Team: Assembly of the site infrastructure, decorations and other Festival specific projects.
The Person: Volunteers must be physically fit and happy to put in a full day’s work. People with building or trade skills are highly desirable for this team. We are looking for at least one person with their forklift certificate.
The Time & Place: Pre-Festival: Thursday 25th and Friday 26th July, Post-Festival: Monday 29th July 2019. This team requires you to complete 15 hours of work pre and post festival. Meals provided.
PLEASE NOTE that first shift will commence 9:00 am Thursday with a view to complete the main site build by Friday Evening.
The Training: Team muster and schedule run through begins 8am Thursday

BOX OFFICE TEAM

The Team: Working with an awesome group of people in TeslaFest’s ticket office. Doing anything and everything including:

– Scanning and validating pre-paid tickets
– Selling multiple types of tickets, programmes and passes
– Wristbanding patrons as a Bander
– Chatting to patrons about TeslaFest and giving accurate information, or doing the research
– Being the first face of the Festival the public see

The Person: Got a head for tech? Quick thinker and fast with your fingers? Do you enjoy talking, helping and welcoming? We’re after people with cash handling, EFTPOS and computer literacy to work in a fun, sometimes hairy area that gives people their first impression of the Festival. Your common sense and ability to find or figure out information fast will make public entry to the Festival smooth and enjoyable, for you and them!
The Time & Place: Friday, Saturday and Sunday.
The Training: You will need to learn how to use the systems and the scanners. Training is on Friday morning with Weekend and Friday night camping ticket holders arriving from 1:30pm. If you’re interstate, we can work something out. If you’re a Bander or not working until the Saturday or Sunday, we’ll show you the ropes on your first shift.

CAMPING TEAM

The Team: This team mark out and monitor general camping areas including roadways and ‘no camping’ areas. They mark out pre-sold campsites and assist with the management of these areas, greet Festival campers as they arrive and direct them towards their space or assist campers in vacating, monitor roadways to ensure that cars are moving responsibly and not parked on designated roads as well as overnighters to monitor the camp ground and assist night time navigation of campers.
The Person: All volunteers must be 18 years or over and enjoy a bit of hard work. A good level of physical fitness is desirable as you are working outdoors on your feet. A friendly welcoming manner and a big smile are advantageous as you are part of the welcoming committee to the Festival.
The Time & Place: Friday and Saturday between 8am and 8pm, Sunday 8am – 6pm. Overnight shifts are 6 hours.
The Training: Compulsory face-to-face training provided at the start of your first shift.   

THE COUNT ROOM

The Team: This team oversee shift, day and end of weekend ticketing and wristband reconciliation from the Box Office. They double check ticket sale totals, EFTPOS receipts, cash and float reconciliation and unused wristband counts from box office volunteers then forward the take and check sheets through to Finance. They also assemble box office shift packs each morning for box office shifts throughout the day.  
The Person: All volunteers must have a good head for numbers. Cash handling, end of day totaling, bookkeeping or accounting experience desirable but not essential. Preference for volunteers who are able to work Friday through Sunday. This team is a-ok for people with mobility issues as you will be mostly seated in an easy access building.  
The Time & Place: Friday pre-Festival 12pm to 7pm, Saturday and Sunday between 8am and 8pm.
The Training: Compulsory face-to-face training provided at the start of your first shift.    

FESTIVAL REGISTRATION

The Team: Welcoming TeslaFest performers, stallholders, members of the media volunteers and camping attendees as they arrive. Redeeming digital tickets, issuing wristbands, volunteer name tags, Festival programmes and vehicle passes as required.
The Person: A can do attitude and a smile are essential for this team. You are the first point of contact for all TeslaFest performers, stallholders, camping attendees and volunteers. The ability to think fast on your feet, understand and follow procedures in a variety of tasks including ticket sales, volunteer and stallholder registration and direction on arrival. Ability to remain calm under pressure in a fast-paced environment is also an advantage.
The Time & Place: Must be available Friday 25th July 11am to 8pm, Saturday and Sunday 27th & 28th July, between 8am and 6pm.
The Training: Team training will be conducted at 11am Friday in preparation for arrivals beginning at 1:30pm.

FESTIVAL SITE CREW

The Team: This team works during the Festival, troubleshooting odd jobs that arise each day. From fixing fences, delivering furniture and equipment or moving props, you will work directly with the Site Manager helping to complete daily jobs.
The Person: Must be physically able.
The Time & Place: Volunteers on this team will be required to complete 15 hours during Friday, Saturday and Sunday.
The Training: On the job training will be provided during your first shift.

FESTIVAL TRANSPORT

The Team: Festival Transport is responsible for transporting performers to and from their accommodation (if off-site) and the Festival, as well as pick up and drop off jobs as required.
The Person: Drivers must be 25 years or older with an excellent driving record.
The Time & Place: Drivers work Friday to Sunday.  The core hours for this team are between 8am and 1am however there may be some shifts that may go until 3am.
The Training: Compulsory face-to-face training Friday pre-Festival or before your first shift. TBA by Artist and Production Manager.

GATE TEAM – BUTTSWORTH

The Team: Greeting performers, volunteers, media, VIPs and Festival Camping attendees as they enter and exit the Festival site from Buttsworth Lane. Ensuring that attendees have the appropriate Festival pass if reentering the site and directing to Festival Registration if a new arrival, directing traffic and checking vehicle passes and working with event security to welcome attendees, participants, VIPs and media to the Festival.
The Person: Responsible, friendly folk with good communication and interpersonal skills, but not afraid to be assertive as required. In this team you are the face of the Festival often being the first point of contact for attendees, performers, media, VIPs and fellow volunteers. Must be able to stand for extended periods of time, work outside in potentially hot, cold or wet conditions, and walk between gates and other parts of the site.
The Time & Place: Friday, Saturday and Sunday, between 8am and midnight.
The Training: Face-to-face briefing TBA by Gate Manager.

GATE TEAM – WELCOME GATE

The Team: Greeting Festival attendees as they enter and exit the Festival entertainment zone. Ensuring that attendees have the appropriate Festival pass. Working with event security to welcome attendees to the Festival.
The Person: Responsible, friendly folk with good communication and interpersonal skills. In this team you are the face of the Festival often being the first point of contact for attendees, performers and fellow volunteers. Desirable that applicants have aptitude or experience and enthusiasm for hospitality, customer service and security awareness.
The Time & Place: Saturday and Sunday 8am to 5pm
The Training: Face-to-face briefing TBA by Gate Manager.

GATE TEAM – PRE FESTIVAL

The Team: Greeting entrants into the Festival site and ensuring all have the appropriate accreditation. Monitoring the internal construction zone pre-Festival to ensure that only appropriate personnel enter and exit. Assist when necessary with early performer, volunteer, stallholder and contractor entry to the site. Assisting with car park management and working with onsite security when required.
The Person: Responsible, friendly people with good communication and interpersonal skills who are able to be assertive at times. In this team you are the face of the Festival, often being the first point of contact for attendees, performers and fellow volunteers. Must be able to stand for extended periods of time, work outside in potentially hot, cold or wet conditions and walk between gates and other parts of the site.
The Time & Place: Thursday and Friday pre-Festival 8am to 8pm.
The Training: Face-to-face briefing prior to first shift by Gate Manager.

GREEN TEAM

The Team: Helping the Festival meet its goal to reduce the amount of waste sent to landfill. Facilitating the collection of waste, recycling and organic bins to central locations for collection. Advising attendees and stallholders on what can and can’t be recycled.
The Person: Physically fit with a passion for waste management. There will be lots of walking in this team so bring some comfy shoes!
The Time & Place: Friday pre-Festival to Monday post-Festival.
The Training: Compulsory face-to-face training requirements TBA by Team Leader.

THE GREETER TEAM

The Team: The friendly, helpful point of contact when it all gets a bit confusing. You will be responsible for attendee and participant relations, helping direct people to specific places, schedule run downs and general crowd monitoring.
The Person: Responsible, friendly people with good communication and interpersonal skills who are able to be assertive at times. In this team you are the face of the Festival and point of contact for attendees, performers and fellow volunteers. Must be able to stand for extended periods of time, work outside in potentially hot, cold or wet conditions and walk around the site. Sturdy, comfy shoes with good ankle support a must.  
The Time & Place: Friday pre-Festival to Festival Sunday.
The Training: Compulsory face-to-face training requirements TBA by Team Leader.

LOST PROPERTY

The Team: Running the Lost Property Office at the Festival. This involves:

– Using the Lost & Found Database and processing and entering information on the Lost Property computer
– Tagging items that are handed in
– Filing Lost Item Registration Forms
– Regular checking of the database to try to identify items which can be returned to owners
– Collecting lost property held at other areas on site
– Processing claims for retrieval/return of lost property
– Assisting in the sorting and packing of lost property for storage at TeslaFest HQ after the Festival

The Person: Working in the Lost Property Office will appeal to those who enjoy working with and helping people. Having an eye for detail and good interpersonal communication skills are a must for this team. Experience using computers and spreadsheets is also an advantage as the Lost Property system is computerised.
The Time & Place: Festival Saturday and Sunday Post-Festival Monday between 8am and 2pm.
The Training: Compulsory face-to-face training requirements TBA by Team Leader.

RAFFLE & SURVEY TEAM

The Team:
1. The sale of Festival raffle tickets to Festival attendees.
2. Conduct the on-site survey of Festival attendees.
The Person: Good communication, interpersonal and customer service skills are highly desirable. You need to be comfortable with sales and have a positive outlook as you are dealing with the public.
The Time & Place: Festival Saturday 1pm and 8pm and Sunday 9am – 7pm
The Training: Compulsory face-to-face training requirements TBA by your Team Leader.

THE VOLLIE LODGE

The Team: The Vollie Lodge provides a space for Volunteers to meet, relax, have a nom and enjoy some space away from the craziness of the Festival. Working in the Lodge you will help maintain the tea, coffee and hydration areas, help distribute meals from and possibly lend a hand at the Lodge Kitchen and make sure the area is neat, tidy and cosy.
The Person: Friendly volunteers who enjoy social situations and don’t mind tidying up after others on occasion.
The Time & Place: Pre-Festival Thursday and Friday, Festival Saturday and Sunday, Post-Festival Monday
The Training: Compulsory face-to-face training requirements TBA by Team Leader.

THE TOP UP TEAM

The Team: The Volunteer ‘Top Up’ Team fill roles which have become vacant at short notice. This team are our vollie wizards. If you are happy to experience any side of the Festival and have a flexible approach to when you work then this is the team for you. You may find yourself out being the Customer Service face of the Festival, but you may also be assigned to fill shifts with a number different teams that need assistance.
The Person: All volunteers must be physically fit with full mobility as you could be placed in any team over the festival period. Good people skills and a can do attitude are a must as you may complete shifts in a number of different areas including cashiers, gates, ticket offices, and venue management.
The Time & Place: Thursday, Friday, Saturday, Sunday, Monday with possible shifts between 8am and 2am.
The Training: Training is provided on the job as you may be placed in a number of different teams.
